Renewals, churn & expansion: build in n8n or buy?

Customer success platforms are daily workspaces for CSMs. If you have a CS team, buy one. If you have a handful of accounts per person and the data already exists, the alerting part is a strong DIY project.

Build it in n8n when…

  • A renewal-risk digest: usage drop + open support tickets + renewal date in the next 90 days, posted to Slack.
  • Health score calculation from product usage in your warehouse, written back to a CRM field.
  • Renewal reminders and task creation 120/90/30 days before the renewal date.

Buy a tool when…

  • A CS team of roughly 10+ that needs playbooks, account plans and a shared workspace.
  • In-app messaging to end users.
  • Subscription cancel flows and payment recovery (a separate, specialised category).

Example n8n workflow: Weekly renewal-risk digest

  1. Schedule trigger weekly.
  2. Pull accounts renewing in the next 90 days from the CRM.
  3. For each, fetch usage trend (warehouse or product API) and open tickets (help desk API).
  4. Code step: flag accounts with usage down and tickets up.
  5. AI Agent step drafts a one-line risk note per account; send to the owner in Slack.

Watch out for

  • Garbage in, garbage out: agree on what "usage" means before scoring it.
  • Keep the score explainable so CSMs trust it.

What n8n costs

  • n8n Cloud Starter is €20/month and Pro is €50/month, both billed annually (n8n.io/pricing, checked 2026-10-17).
  • n8n bills per workflow execution, not per step, so a 20-step enrichment flow counts as one execution.
  • The Community Edition is free to self-host from GitHub.
  • n8n has HubSpot and Salesforce nodes plus trigger nodes, a Slack node, an HTTP Request node for any API, an AI Agent node, and a Wait node that can pause a workflow for a form submission (useful for human approval).
