CRM hygiene: build in n8n or buy a dedupe tool?
Most CRM hygiene work is detection (finding duplicates, bad formats, missing fields) and correction (merging and fixing). Detection is easy to build. Correction, especially merges, is where purpose-built tools earn their price.
Build it in n8n when…
- Flag likely duplicates on record create and send them to a Slack review queue.
- Normalize fields on create: country names, phone formats, job-title buckets, lowercase emails.
- A weekly "missing critical fields" report per owner.
- You run fewer than a few thousand records a month and can live with a human doing the final merge.
Buy a tool when…
- You need automated merges in Salesforce. Master record selection, child records and API limits make DIY merging fragile.
- You run large mass-update or import jobs regularly.
- You want a UI that admins (not engineers) can use to define matching rules.
Example n8n workflow: Duplicate flagger for new contacts
- HubSpot or Salesforce trigger on contact created.
- Search the CRM for contacts with the same email domain and a similar name (HTTP Request or CRM node).
- If a match is found, post both records to a Slack channel with links.
- Optional: a Wait node holds the flow until someone approves a merge in a form, then logs the decision.

Watch out for
- CRM API rate limits on bulk searches.
- Never auto-merge without a human until your matching rules have run in "report only" mode for a few weeks.
What n8n costs
- n8n Cloud Starter is €20/month and Pro is €50/month, both billed annually (n8n.io/pricing, checked 2026-10-17).
- n8n bills per workflow execution, not per step, so a 20-step enrichment flow counts as one execution.
- The Community Edition is free to self-host from GitHub.
- n8n has HubSpot and Salesforce nodes plus trigger nodes, a Slack node, an HTTP Request node for any API, an AI Agent node, and a Wait node that can pause a workflow for a form submission (useful for human approval).

Our verdict for every CRM Hygiene & Data Cleanup tool we list
10 of 11 verdicts start with "Buy". Click a tool for pricing and integrations.
| Tool | Build in n8n or buy? |
|---|---|
| Cloudingo Standard $2,500/yr, Professional $6,000/yr, Enterprise $10,000/yr (per Salesforce org, billed annually) | Buy. Salesforce merges via API are fiddly (master record selection, child records, limits). n8n is fine for flagging likely duplicates into a Slack review queue, not for merging. |
| DataGroomr Professional $3,995/yr (as shown in on-page calculator); add-ons e.g. $100/user/yr Lightning-only users, $500/yr extra Live Dedupe dataset; Enterprise: talk to sales | Buy for ML-based matching. A DIY version with an LLM comparing candidate pairs works for small batches but gets expensive and slow at scale. |
| Delpha Starter $300/mo (billed $3,600/yr), Pro $1,000/mo (billed $12,000/yr), Enterprise: talk to sales | Buy if you live in Salesforce and want in-org review flows. An n8n + LLM job can score record quality, but you'd have to build the review UI yourself. |
| Dropcontact Email Finder: Starter €79/mo, Growth €120/mo (500 credits/mo, monthly; yearly saves 20%); Enterprise from 200k credits/mo: contact; CRM Integration Suite: talk to an expert | Buy for automatic duplicate merging and EU-compliant enrichment inside the CRM. n8n can call its API to enrich new contacts on create, but merge logic is not worth rebuilding. |
| Insycle $100/mo (one module), $150/mo (two modules), $200/mo (all modules); Custom: contact us | Buy if you dedupe regularly. Simple scheduled field normalization (casing, country codes) is an easy n8n job, but fuzzy matching, merge rules and audit trails are where DIY breaks. |
| Openprise Custom quote | Buy for complex multi-system stacks. If your stack is one CRM plus one MAP, a set of n8n workflows covers most of the cleanup at a fraction of the cost. |
| Plauti Priced by record volume; not published | Buy. Duplicate prevention at entry has to run natively in the CRM; external automation can only clean up afterwards. |
| Rattle Unknown | DIY is realistic: 'deal stage changed / close date slipped → Slack message' is a classic n8n workflow. Buy if you want 2-way Slack updates without maintaining it. |
| Syncari Single plan, price not published | Buy when you need stateful bi-directional sync across 3+ systems; that's genuinely hard to DIY. One-way syncs between two tools are a weekend n8n build. |
| Traction Complete Unknown | Buy for account hierarchies and lead-to-account matching at volume. DIY matching on domain only is simple in n8n, but it misses subsidiaries and messy data. |
| Validity DemandTools Not published | Buy if you are an enterprise Salesforce admin doing large mass-modify jobs. For a few thousand records a year, an n8n flow plus Salesforce's native duplicate rules may be enough. |
