Deal desk, CPQ & quoting: build in n8n or buy?

Quoting splits into three jobs: pricing logic, document generation, and signatures. Pricing logic for a simple price book and document generation are buildable. E-signature and complex CPQ are not worth DIY.

Build it in n8n when…

  • Generate a quote PDF from CRM line items and a template when a deal hits a stage.
  • Discount approval: if the discount exceeds a threshold, pause and ask a manager in Slack before the quote goes out.
  • Auto-create a proposal in your proposal tool from deal data via its API.

Buy a tool when…

  • E-signature. Compliance and audit trails are not a weekend project.
  • Complex bundles, usage pricing, multi-year ramps and subscription billing.
  • Contract lifecycle management with redlines and clause libraries.
  • More than roughly 50 SKUs or many approval paths.

Example n8n workflow: Discount approval before quote send

  1. CRM trigger when a deal moves to "Quote".
  2. Read line items and compute total discount in a Code step.
  3. If above threshold: post to the approver in Slack and use a Wait node until they approve in a form.
  4. On approval, create the document in your proposal or e-sign tool via its API and attach it to the deal.

Watch out for

  • Keep the price book in one place (CRM products), not copied into the workflow.
  • Log every approval decision back to the deal for audit.

What n8n costs

  • n8n Cloud Starter is €20/month and Pro is €50/month, both billed annually (n8n.io/pricing, checked 2026-10-17).
  • n8n bills per workflow execution, not per step, so a 20-step enrichment flow counts as one execution.
  • The Community Edition is free to self-host from GitHub.
  • n8n has HubSpot and Salesforce nodes plus trigger nodes, a Slack node, an HTTP Request node for any API, an AI Agent node, and a Wait node that can pause a workflow for a form submission (useful for human approval).

Conga CPQ
Not published
Buy for enterprise CPQ/CLM. Overkill for teams with fewer than ~50 SKUs; there, a template + n8n works.
DealHub
Not published
Buy if you have complex bundles and approvals. A quote doc generated from CRM line items via n8n plus a template is fine for simple price books.
GetAccept
eSign $25/user/mo; Professional $49/user/mo (min 5 users); Enterprise: contact
Buy for deal rooms; not a sensible DIY target.
Nue
Unknown
Buy if you sell hybrid usage + subscription; DIY billing logic gets expensive fast.
Oneflow
Starting at €250/mo, billed annually; contact sales for more
Buy for signing and contract storage; n8n is great for pushing CRM data into contract templates.
PandaDoc
Free $0; Starter $19/seat/mo; Business $49/seat/mo (billed annually); Enterprise / per-document: contact
Buy. E-signature compliance isn't worth DIY; automate document creation from your CRM via its API.
Proposify
Build $35/user/mo annual ($49 monthly); Grow $325/mo billed annually (5 seats); Scale $1,066/mo billed annually (10 seats)
Buy if you send many custom proposals. For standard quotes, CRM-native quotes plus an n8n PDF step can be enough.
Qwilr
Starter $35/user/mo annual ($49 monthly); higher tiers $55 and $75/user/mo
Buy; fair price for what it does. Auto-create Qwilr pages from deal stage changes via n8n.
Salesforce Revenue Cloud
Growth $150/user/mo; Advanced $200/user/mo
Buy if you're all-in on Salesforce and have complex pricing; otherwise evaluate lighter CPQ tools first.
