Meeting notes & CRM updates: build in n8n or buy?

Notetakers are cheap and good. Recording, transcription and bots joining calls are not worth building. The interesting part to build is what happens after the call: which CRM fields get updated, and how.

Build it in n8n when…

  • Take transcripts from a notetaker webhook or API and extract custom fields (next step, competitor mentioned, budget) into the CRM.
  • Draft a follow-up email for the rep to review.
  • Post a deal summary to the deal's Slack channel after each call.

Buy a tool when…

  • Recording, transcription and the meeting bot itself.
  • Coaching, scorecards and call libraries for a large team.
  • Native CRM sync that already covers the fields you need; then there is nothing to build.

Example n8n workflow: Transcript to CRM fields

  1. Webhook trigger from your notetaker when a transcript is ready.
  2. Match the meeting to a CRM deal by attendee email domain.
  3. AI Agent step with a strict JSON schema: next step, close-date signal, competitors, risks.
  4. Update the deal fields and add a note; ask the rep in Slack only if confidence is low.

Watch out for

  • Get consent right for recording in your markets.
  • Write extracted fields to dedicated "AI" fields first, so reps can see what the model changed.

What n8n costs

  • n8n Cloud Starter is €20/month and Pro is €50/month, both billed annually (n8n.io/pricing, checked 2026-10-17).
  • n8n bills per workflow execution, not per step, so a 20-step enrichment flow counts as one execution.
  • The Community Edition is free to self-host from GitHub.
  • n8n has HubSpot and Salesforce nodes plus trigger nodes, a Slack node, an HTTP Request node for any API, an AI Agent node, and a Wait node that can pause a workflow for a form submission (useful for human approval).
