Outbound & sequencing: build in n8n or buy?

Outbound has three layers: data (who to contact), sending (mailboxes, warmup, deliverability, sequences) and the work around it (research, personalisation, reply handling, CRM sync). Buy the first two. The third is where n8n shines.

Build it in n8n when…

Research a prospect list with an LLM step and write a first-line draft per contact for a human to approve.
Route positive replies from your sequencer (webhook) to the right owner, create the CRM deal and alert them in Slack.
Sync sequence activity and outcomes back to HubSpot or Salesforce fields your reports use.
Signal-based triggers: a job change or new funding round adds the account to a sequence.

Buy a tool when…

Sending infrastructure: mailbox rotation, warmup and deliverability monitoring.
Contact data. You cannot DIY a B2B database.
LinkedIn automation, which runs inside your own account and needs to respect platform limits.
A fully managed AI SDR if you have no one to run outbound.

Example n8n workflow: Positive reply to CRM deal

Webhook trigger from your sequencer when a reply arrives.
AI Agent step classifies the reply: interested, not now, wrong person, unsubscribe.
If interested: find or create the contact and company in the CRM, create a deal and assign the owner.
Post the reply and deal link to the owner in Slack; if "not now", set a follow-up task in 90 days.
Unsubscribes update a suppression field so no other tool emails them again.

Watch out for

Respect opt-outs across every tool, not just the one that received the unsubscribe.
Check the rules for cold email and LinkedIn automation in the markets you sell into (e.g. GDPR in the EU).
Keep AI-written messages behind human review until reply quality is proven.

n8n bills per workflow execution, not per step, so a 20-step enrichment flow counts as one execution.
The Community Edition is free to self-host from GitHub.
n8n has HubSpot and Salesforce nodes plus trigger nodes, a Slack node, an HTTP Request node for any API, an AI Agent node, and a Wait node that can pause a workflow for a form submission (useful for human approval).
